The City’s Facility Maintenance Division has a need for both a facilities assessment and a new work order system for the approximately eighty facilities owned and operated by the City of Mesquite.  Having an assessment of all the facilities will help management accurately plan for the necessary capital expenses needed each year to maintain City facilities in a state of good repair.

The scope of this project includes a facility condition assessment of up to 900,000 square feet of City buildings including all roofs and major facility systems, development of a preventive maintenance schedule for each building, a new work order software system suite, and equipment barcode tagging of major building components for both inventory and system maintenance purposes.  Recurring software subscription pricing averages approximately $53,000.00 per year, with year two costing $50,577.15 and year five at $55,267.02.

Financial Implications

Funding is available in the FY 2023-2024 capital budget for this project with the shortfall of $33,327.82 coming out of the Capital Project Reserve Fund.

Recommended/Desired Action

Staff recommends authorizing the City Manager to finalize and execute a subscription agreement and necessary addendums with Brightly Software Inc., through Sourcewell Cooperative Purchasing Contract No. 090320-SDI.
