RFP No. 2017-103 - City Hall A/V Operations Improvement Project.

Body

City staff is seeking to improve the current audio and video capabilities in several meeting rooms located in City Hall. The project is a collaboration between many city departments: Communications and Marketing, Information Technology, City Secretary’s Office and Building Services.

 

The improvements will require new hardware installations and configurations as well as the reuse of certain electronic components and cabling. The installation will include the integration with city’s video streaming vendor, Swagit, Inc.

 

The improvements in the audio and video capabilities will correct issues in reliability, usability, safety, interfacing and customer service of these systems. The locations that will be modified are:

 

                     Council Chambers

                     Lobby Video Wall

                     Council Meeting Room

                     Council Executive Room

                     Training Rooms A & B

 

Financial Implications

The project cost is $289,146.32 and the funding source is Public Education and Government (PEG) fees paid by cable TV providers in the community. PEG funds can only be used for capital expenses such as this project, and cannot be used for personnel services or operating expenses. PEG funds are used by the City of Mesquite and the Mesquite Independent School District to create, sustain and improve their video production equipment and facilities directly related to the City’s PEG channel.

 

Recommended/Desired Action

Staff recommends award to Data Projections, Inc.
