The current Microsoft Enterprise Agreement allows the City of Mesquite to acquire Microsoft Enterprise software as needed and perform a true-up (audit) on an annual basis. This eliminates the need for ordering software for each new server installation and reduces the amount of paperwork required to track licensing and compliance. Additionally, the agreement provides training vouchers and support for Microsoft products, which allows City staff to expand their knowledge on Microsoft’s enterprise products. The Office 365 and Azure licensing is based on the number of employees that require access to the cloud services and the SQL Server and Windows Datacenter licensing is based on the number of servers running the software. Software House International has provided quotes for the maintenance renewals through the Texas Department of Information Resources (DIR) Contract Nos. DIR-SDD-2503 and DIR-TSO-4092.

 

Financial Implications

The $5,276.10 increase over budget was the result of 350 new city e-mail accounts that were added to the Office 365 service. These new accounts are for staff that were not previously licensed, but needed an account to receive electronic payroll advice and more efficient communications with the rest of the city. The increase over budget will be funded from savings in other projects.
